Written once, used every time

You should not have to think about how the covering email sounds every time you send an invoice. Subject and body for invoices, quotes, cancellations and reminders are stored once — SBM inserts them when sending. And because around 110 settings carry a translation switch, you store the same building blocks in every language you work in.

  • Standard texts per process

    Invoice mail, quote mail, cancellation wording, discount note, reminder text and the closing text on the document — all pre-written and sent with one click.

  • Placeholders instead of typing

    Templates carry markers such as ###KUNDE_FIRMA###, ###KUNDE_ADRESSE###, ###KUNDE_USTID### or ###DATUM###. On generation SBM fills in the real data — no copying, no transposed digits.

  • Templates per language

    Contracts and their annexes are held separately in each language. A secondary language deliberately does not fall back to the German version behind your back: either there is a version of its own, or the process stops. No customer accidentally receives a German contract.

  • Forms cut to your shape

    Which fields a process needs is yours to decide — right down to image and file fields. The same fields then reappear in the quote and the delivery note.

  • A silent copy to your archive

    For invoices, quotes, cancellations and the P&L you can store a BCC address each. Every dispatch automatically lands there too, without anyone having to remember.

  • Your own wording

    The names of the processes are yours as well: “early-payment discount” becomes whatever you call it — singular and plural, per language.

Six jobs SBM handles without you. They run as scheduled tasks on your server, and what they do is set in the options.

  • Fetching incoming invoices

    Every 30 minutes your receipts mailbox is checked and new incoming invoices are created.

  • Recurring invoices

    Due subscription, contract and licence invoices are created daily on their own.

  • Reminders for open signatures

    Unsigned documents are followed up at the rhythm you set.

  • Daily report

    A summary by email once a day — without logging in.

  • Backup of the whole system

    A complete image daily, to an external server if you want.

  • Licence status

    Every six hours SBM checks which modules are enabled.
